Job Overview: 
The Exhibitions Manager – Fine Art Logistics is responsible for the end-to-end planning, costing and delivery of complex fine art projects across Qatar, Saudi Arabia, the UAE and the wider Middle East. These projects include art exhibitions, biennales, art fairs, public art installations and other major cultural initiatives.
The role combines detailed estimating, technical project management and client coordination to ensure the safe, compliant and timely movement, installation and de-installation of artworks and related materials. The position includes residency in Qatar, full time job based in Qatar
The successful candidate will be comfortable working independently, while remaining highly responsive and willing to travel at short notice within the region.

Key Responsibilities
Estimating & Business Development Support
  • Prepare detailed estimates and proposals for exhibitions, biennales, art fairs, public art installations and other major fine art logistics projects across Qatar, KSA, UAE and the wider Middle East.
  • Analyse tender documents, scope of work and technical specifications to identify requirements, risks and dependencies.
  • Develop accurate costings for packing, handling, storage, transport (road/air/sea), customs clearance, installation/de-installation, specialist equipment and third-party services.
  • Liaise with operations, warehousing, transport and finance teams to validate assumptions, rates and capacity.
  • Support the commercial team in client meetings, presentations and negotiations related to exhibitions and major projects.
  • Track estimate performance versus actual costs to refine pricing and improve margins.
Project Management & Coordination
  • Take full ownership of assigned projects from award through completion, managing multiple projects concurrently. An assistant will be provided to you.
  • Develop comprehensive project plans, including timelines, milestones, resource plans and risk registers.
  • Coordinate with internal departments (operations, warehouse, transport, crating, customs, insurance, HSSE) and external partners (fine art logistics shippers and other vendors) to ensure all project elements are aligned.
  • Prepare clear job files, work orders and instructions for operational teams and subcontractors.
  • Monitor project execution, resolve issues, manage changes in scope and maintain up-to-date documentation.
  • Provide regular progress reports and forecasts to management and clients, using remote tools and systems effectively.
Client & Stakeholder Management
  • Act as the primary point of contact for clients (museums, galleries, biennale organisers, art fair organisers, cultural institutions, corporate and private collectors).
  • Attend client briefings, site visits and coordination meetings on-site across the Middle East as required. Can be processed on Teams if required.
  • Manage client expectations on scope, budget, timeline and risk, escalating issues promptly when necessary.
  • Build and maintain strong relationships with clients, lenders, institutions, insurers, partners and suppliers to support repeat business and long-term partnerships. 
Technical & Operational Oversight
  • Coordinate the packing, handling, transport and installation of artworks in line with lender requirements and international museum standards.
  • Work closely with fine art handlers, registrars, couriers and conservators to ensure correct handling, environmental conditions and security.
  • Plan logistics routes and schedules for local, regional and international movements, factoring in customs, permits, local regulations and security.
  • Liaise with the rest of the Fine Art team who can in turn liaise with customs brokers and relevant authorities in Qatar, KSA, UAE and other Middle Eastern countries to ensure smooth import/export and transit.
  • Oversee on-site operations at key phases including load-in/load-out, installation, de-installation and public art installation works 
Financial Management
  • Manage project budgets from award to close-out, ensuring profitability and cost control.
  • Track actual costs against estimates, identify variances and implement corrective actions.
  • Review and approve supplier and subcontractor quotations in line with company policies and budget.
  • Support post-project reviews, lessons learned and margin analysis to drive continuous improvement.
Compliance, Risk & Safety
  • Ensure all projects comply with company HSSE policies, lender specifications and local regulations.
  • Review and contribute to risk assessments and method statements, particularly for complex installation activities and public art projects.
  • Proactively identify operational, financial and reputational risks and implement appropriate mitigation measures.
