Job Purpose & ResponsibilitiesProvides day-to-day support to the Fleet Department ensuring that all administrative systems, records, reports, and files are properly maintained, updated and organized.
New ShipbuildingResponsible for coordinating and managing technical projects as assigned.
These consist of design and engineering related to the modification of existing ships, and development of concept designs for new buildings.
- Arranging and dispatching vessel mails.
- Communication / Update / Follow up of monthly reports with the vessels.
- Entire filing of documents – office / vessels
- Handling correspondence and assisting Technical Superintendents
- Assisting Fleet Manager in presentation
- Assisting Purchasing departmen
- Compiling and organising copies and dispatching drydock communication
- Organizing Flight Bookings
- Update of the itinerary of vessel visit for Fleet, MSEQ and Fleet Personnel Department
- Sort and distribute incoming and outgoing mail correspondence including ships mail.
- Follow up and electronic filing of vessel month – end reports.
- Coordination for Fleet training and maintaining records.
- Maintaining records of incoming and outgoing courier mail.
- Shipbuilding Contract administration and coordination with all concerned for the naming and delivery of all new buildings.
- Coordinate with GEM Site for the site management services as per the agreement with SeaQuest Marine S.A
- Maintain updated records for the Guarantee Claims for new vessels under guarantee period for recovery of costs from the builder.
- Maintain pre-contract and post contract files for the newbuild vessels.
- Monitor new ship construction schedule and update Fleet with monthly progress reports and major construction events in order to ensure timely completion of the new shipbuilding project.
- Monitor the upkeep and periodic distribution of all ship’s plans and technical manuals within the office.
- Keep track of the plan approval process and filing system for the newbuilds and keep updated records for the extras and credits during construction.
Qualification & Experience - Preferably with Bachelor’s Degree in commerce or Business Administration
- Must be computer literate, with the ability to meet reporting deadlines and targets.
- Good command of English – verbal and written
- Ability to read and accurately interpret plans and specifications.
- Experience in management of engineering design projects.
- Shipping company experience will be an added advantage
- Good communication and ability to interact with all levels of people.
